The Receptionist serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.  Proficient receptionists will also assist other administrative staff with overflow work.  This is an excellent career opportunity for a career-minded receptionist with a strong desire to succeed.


  • Ensure a professional and organized front desk area while providing assistance to Executive Assistant, HR Director, and AR/AP Department.
  • Politely greet visitors, vendors and applicants. Address their needs in a professional manner.
  • Answer telephone calls and direct calls to appropriate extensions or take messages as requested.
  • Maintain and update master phone list for all of Synergy Inc. so that it is consistently up to date.
  • Maintain supply room and place supply orders monthly for all of Wauconda office.
  • Check in supply order to ensure everything is received and put away.
  • Ensure lobby conference room, reception bathroom, and reception waiting area is clean and organized.
  • Sort and distribute incoming mail; monitor postage meter; prepare overnight mail and packages.
  • Assist with various HR and AR/AP related administrative tasks.
  • Alphabetizing and filing AR/AP vouchers and invoices.
  • Sort and mail checks for the AR Department.
  • Enter in Sage Database for Freight In and Freight Out procedures for AR/AP Department.
  • Assemble all new hire employee manuals for Wauconda.
  • File, fax, and copy documents as required.
  • Assist AP department with weekly UPS reports and ARPS report.
  • Book meetings in various conference rooms as requested by Executive Staff.


  • Five (5) or more years in a corporate front office/receptionist type role.
  • Knowledge of administrative and clerical procedures.
  • Must be organized, competent in key administrative skills, and possess the ability to multi-task and manage priorities.
  • Proficient computer skills, including Microsoft Excel, Word and Outlook.
  • Demonstrated ability to exercise strong judgment skills and a high level of professionalism.
  • Ability to work alone with minimal supervision.
  • High School Diploma or equivalent required. BA/BS preferred.
